The role

We Are Social is on the lookout for a confident, enthusiastic and passionate Operations & Resource Manager to join our team. You’ll have the opportunity to report directly to the Director of Resourcing and work closely with Client Service, Editorial, Creative, Strategy, Research & Insights and Production leads. 

As an Operations & Resource Manager, you will manage the agency’s incoming projects and help select appropriate teams based on schedule, workload, experience level and area of expertise. In addition, you will play a role in Operations Duties across the agency.

What does the role involve?

  • Liaising with Client Service and Production to manage incoming briefs, timelines and assign resources for all projects, with guidance of department leads
  • Organize regular status/check-ins with each account group to determine upcoming resourcing needs
  • Proactively engaging in a process for resource planning on a weekly, monthly and quarterly basis. Tracking and reporting on team utilization, project allocation accuracy, and forecasting trends. 
  • Communicating with and developing relationships with the department leads to verify individual workloads and skillsets
  • Adopting resource management systems (i.e. Asana, Forecast) to effectively organize and clearly communicate resource capacity and plan accordingly.
  • Maintaining Freelancer database and ensuring freelance budget is managed, with oversight from Director of Resourcing, including sourcing, getting them set-up with all internal tools, on-boarding and invoicing. This will also include coordination with the wider WAS network for additional internal resource support and capacity.
  • Owning the freelance management lifecycle from sourcing, contracting, systems setup to payment. 
  • Support with the enforcement of timesheets within the agency, including training new employees, assisting in supplying project job numbers (as required), and tracking of overdue/delinquent timesheets

What are we looking for?

  • 4+ years experience working in a creative agency
  • Highly adaptable with strong organizational skills, adept at problem solving and rigorous  attention to detail
  • Be proactive, not reactive. When the opportunity presents itself, you are actively providing solutions, not simply identifying friction points with no proposals for improvement. 
  • Multi-tasking & priority expert, as departments will rely on you for your oversight & intimate knowledge of all projects in the pipeline
  • Flexibility & patience, yet firmness – there are many moving pieces to every project and many personalities are involved
  • Detail oriented – Not letting anything slip through the cracks and developing processes to avoid this
  • Our environment is fast paced and deadline driven so you need to know how to keep calm under pressure
  • Natural curiosity and understanding of systems thinking, A.I. implementation and mindset in social marketing
  • A curiosity for the brightest and best in social, and translating this into brilliant creative and editorial executions
  • Obsessed with the internet, and can speak only in meme language, if needed!
