The Office Administrator plays a key role in creating a safe and pleasant working environment in the Singapore office. The incumbent will provide support in areas such as office and inventory management, purchasing and administration, travel management, etc.

Key Responsibilities:

Independently run the office space on a day-to-day basis to ensure smooth operations.

  • Attend to incoming calls from the main phone line via a mobile application and manage emails to the main email alias and forwarding to the relevant departments 
  • Liaise with appointed vendors and building management to ensure consistent execution of routine office maintenance 
  • Manage office assets, including but not limited to: electronic equipment, furniture, appliances, tech assets, pantry, toiletries, and cleaning inventory
  • Work with the People & Culture team (P&C) to assist with planning and executing office celebrations, events and company meetings
  • Manage travel arrangements (flight and hotel bookings, airport transfers etc.) and post-travel reports for the local team when required
  • Render administrative support to senior management, as and when required 
  • Manage all local IT assets alongside the APAC IT team located overseas, including but not limited to basic IT troubleshooting, and sending damaged/faulty assets for repair with our appointed vendors
  • Manage various office subscriptions (Microsoft, Adobe, etc.) and liaise with IT Helpdesk where necessary
  • Setup of laptops and other tech assets for new employees
  • Assist with the onboarding and offboarding process including arranging new joiner’s welcome kit and the collection of company assets from leaving employees
  • Other ad hoc duties that may be assigned

Requirements

What are we looking for?

  • Relevant experience within an Office Administration/Management role
  • Tech savvy, familiar with using MacOS
  • An outgoing, positive and self-motivated individual
  • Willing to take the initiative and an ability to think on one’s feet
  • Organised and meticulous 
  • Ability to multitask in a fast-paced environment
