Office Manager

United States Operations

The role

THE ROLE

We are looking for an Office Manager to join our LA office. You will be the first point of contact for anyone visiting the office. You help keep the office organized and help support the team with ad hoc projects.

WE ARE

A creative agency powered by social connections. That means we thrive on what’s trending and creating campaigns that get people buzzing. We call it “Ideas Worth Talking About,” and we’ve proud to have played a part in some of the most culturally relevant campaigns of the decade for brands like McDonald’s, Adidas, Universal Studios, and YouTube.

WHY YOU’LL LOVE IT HERE

  • We like to laugh, we live for celeb gossip and we’re great on AUX.
  • Our passport program lets you explore and work from one of our 16 other offices worldwide, including Paris, Singapore, Madrid, Dubai, London and more!
  • You best believe we know how to celebrate our wins. And our losses (it’s how we learn).
  • From carbon offsets to community kitchens, we’re passionate about making a difference.
  • Did we say snacks? Because we have great snacks.

YOU ARE

  • A person who thrives in a fast-paced environment, responding quickly and proactively
  • Not interested in just following trends – you want to create them
  • A self-starter, who’ll take ideas from concept to execution, navigating feedback like a pro

Traditional agency experience is not required, but it’s a plus. What matters most is a strong customer service mindset, a welcoming presence, and the ability to create a positive experience for everyone who walks through our doors. This role is energetic, organized, and people-focused. As the face of the office, you’ll help foster a warm and inclusive environment, support employees and visitors, and ensure the day-to-day office experience runs smoothly. In return, you’ll join a global agency dedicated to generating buzzworthy ideas for some of the world’s leading brands.

WHAT YOU’LL DO

  • Manage the daily opening of the office, ensuring the space is fully prepared and welcoming for staff each morning
  • Act as the primary face of the agency, maintaining a consistent front-desk presence to warmly receive guests, manage deliveries, and answer the main phone line
  • Maintain a clean, organized, and highly presentable office environment for an average of 50+ daily in-house employees and visitors
  • Oversee inventory and budgets for general office supplies, equipment, and kitchen/food stock
  • Serve as the primary liaison with property management and building contacts to resolve facilities issues and collaborate on new office projects
  • Provide dedicated Executive Assistant support to company partners and C-suite executives, including managing complex calendars, booking travel, and making reservations
  • Execute administrative tasks such as submitting timesheets, ordering corporate gifts, and coordinating catering for internal or client meetings
  • Collaborate with office managers across other agency locations to align on best practices
  • Oversee scheduling for all shared meeting rooms and track the internal “out of office” calendar
  • Proactively monitor shifting project needs and communicate updates across all staff levels to keep daily schedules running smoothly
  • Plan and execute key agency events, including the annual holiday party, employee birthday celebrations, and team outings
  • Partner with the internal Social Committee to drive agency culture and foster a strong sense of community
  • Draft and send engaging internal communications (e.g., weekly lunch emails, client-in-office notifications, and happy hour reminders)
  • Facilitate the onboarding process for new hires by preparing their physical workstations and updating office directories

Requirements

  • A confident and engaging people person
  • Strong organization and planning skills
  • Experience in an office assistant/admin role; phone skills a major plus
  • An eye for reducing clutter and keeping the overall office looking great
  • Calm and tactful under pressure
  • Professionalism, poise, and diplomacy to take on difficult issues
  • Discretion about private and confidential matters
  • Event/party planning experience a plus
  • Problem solver who is eager to help out and doesn’t mind random requests
