The Office Assistant/Manager at We Are Social plays a key role in maintaining a welcoming, inspiring and productive workspace. You’ll be the maestro behind the scenes, orchestrating an enjoyable office experience for our staff and clients.

You will be a great support to the Operations, P&C and Leadership teams working to deliver company events, onboarding logistics and marketing initiatives.

RESPONSIBILITIES 

Office Management

  • Maintain the office space, ensuring cleanliness, layout, and tidiness are upheld; keep office supplies and fridges well-stocked
  • Manage front-of-house experience, including visitor arrivals, meeting room setups, and catering
  • Contribute to managing the office budget, tracking costs related to supplies and building services
  • Own the physical and administrative setup for new hires and leavers
  • Take a proactive approach to identifying opportunities for improvement of office operations and systems 

Events & Agency Experience 

  • Coordinate regular staff events (Monday breakfasts, weekly lunches) and manage the hosting schedule and prep for monthly agency meetings
  • Foster a positive, collaborative culture, by strengthening team connection and ensuring employees feel supported and engaged
  • Lead end-to-end logistics, venue sourcing and travel coordination for large-scale team offsites and client events
  • Assist in executing culture-led and DE&I initiatives to boost team engagement

Leadership Support 

  • Provide general administrative assistance to the CEO to streamline daily business operations
  • Manage travel itineraries, accommodation bookings, meeting schedules and expense tracking for the CEO

Marketing & Social Media 

  • Coordinate the development of marketing campaigns, including drafting compelling copy and managing the production of high-quality marketing collateral
  • Manage website, email marketing and social media channels (content creation, scheduling, engagement and optimisation) 
  • Manage the creation and tailoring of case studies and industry award entries
  • Support the sales function in the management and administration of CRM data and inbound enquiries

WHO YOU ARE

  • You have around 2+ years of experience in a fast-paced office management, administrative, or similar environment
  • You love people and culture, naturally bringing fresh ideas to the table to enhance team morale and workplace engagement
  • You are a natural planner, capable of organising team events from start to finish
  • You bring a true “can-do, will-do” attitude, you’re highly proactive, detail-oriented, and know how to prioritise when things move fast
  • You maintain a calm, approachable presence, making you a trusted point of contact for stakeholders at all levels
